Frequently Asked Questions
What is agentic AI in Dynamics 365 Sales?
In Dynamics 365 Sales, agentic AI refers to AI-driven assistants that understand context, interpret intent, and take action on behalf of sellers, instead of just providing static suggestions.
Practically, this means Dynamics 365 Sales starts to adapt to how sellers naturally work, rather than forcing sellers to adapt to rigid forms and filters. The system can:
- Understand unstructured inputs (emails, websites, documents, images of business cards).
- Infer what the seller is trying to do (create a lead, update a contact, explore pipeline health).
- Take meaningful actions (pre-fill CRM fields, apply filters, generate visualizations) at the point of work.
Two purpose-built agents bring this to life:
1) **Data Entry Agent**
- Uses large language models (LLMs) to read pasted content and uploaded files.
- Extracts relevant details like names, titles, companies, emails, phone numbers, and industries.
- Maps those details to the right CRM fields so sellers don’t have to retype information.
2) **Data Exploration Agent** (Preview)
- Lets sellers ask natural language questions such as “Leads from the Summer Campaign created last month” or “Opportunities from Technology accounts closing next quarter.”
- Translates those questions into structured filters and views.
- Can instantly visualize the current view as interactive charts for quick pattern recognition.
Together, these capabilities help reshape Dynamics 365 Sales from a system of record into a system that understands, assists, and adapts—so sellers can spend more time selling and less time managing CRM screens and filters.
How does the Data Entry Agent reduce manual CRM work?
The Data Entry Agent is designed to reduce one of the biggest time drains in sales: manual CRM data entry. Instead of copying and pasting details field by field, sellers can rely on AI to do the heavy lifting and then simply review and confirm.
It supports two main workflows (both in Preview):
1) **Smart Paste for leads and contacts**
- Sellers copy text from an email, website, or LinkedIn profile and paste it into a lead or contact form.
- The system analyzes the pasted text using LLMs and suggests values for relevant fields such as:
- Name
- Company
- Email address
- Phone number
- Job title
- Industry
- Location
- Each suggestion includes an inline citation showing exactly where in the source text the information came from.
- Sellers quickly review, accept, or adjust suggestions and save the record.
Typical use cases:
- **Inbound prospect emails**: Turn a prospect’s email into a complete lead record in a few clicks.
- **Website or LinkedIn research**: Copy the About Us page or a profile summary and let the system propose company and contact details while the context is still fresh.
2) **Files upload for physical and digital documents**
- After events or meetings, sellers can upload images or documents directly into the form.
- Supported formats include: **.txt, .docx, .csv, .pdf, .png, .jpg, .jpeg, .bmp**.
- The system analyzes the file and suggests values for names, titles, company details, email addresses, and phone numbers.
- Sellers review and confirm, turning what used to take hours of manual transcription into a short review step.
By shifting from manual typing to AI-assisted suggestions with clear citations, the Data Entry Agent helps:
- Capture more complete lead and contact records.
- Reduce errors from retyping.
- Accelerate follow-up after campaigns, events, and meetings.
How does the Data Exploration Agent help me understand my pipeline?
The Data Exploration Agent (Preview) is focused on helping sellers and managers quickly find, filter, and understand sales data using natural language instead of complex query logic or separate reporting tools.
It supports two key capabilities inside standard views:
1) **Natural language filtering in views**
- Instead of building multi-step filters, you type what you’re looking for in plain language.
- Examples:
- “Leads from the Summer Campaign created last month.”
- “Opportunities from Technology accounts closing next quarter.”
- The agent interprets your request and automatically applies the appropriate filters to the current view.
- You can still review and adjust the filters, so you keep control over the final result.
This helps with everyday tasks like:
- Planning your day around the right leads.
- Preparing for forecast calls.
- Narrowing down accounts or opportunities by segment, timing, or source.
2) **Visualize (Preview) for instant charts**
- From any filtered view, you can generate interactive charts with a single click.
- The visualization is based on the **current view and visible columns**, so it always reflects the exact filters and scope you’re working with.
- You can:
- Hover to see detailed values.
- Drill into specific segments.
- Switch chart types as new questions come up.
This makes it easier to answer questions like:
- “Where are most of my open opportunities concentrated?”
- “Which lead sources are driving volume right now?”
- “How is my pipeline distributed across stages?”
Visualize is intended for quick, in-the-moment understanding rather than deep analytics. It complements tools like Power BI by giving you immediate visual insight without leaving CRM, creating reports, or navigating dashboards. The result is a more fluid way to explore data, spot patterns, and decide what to do next directly from your working views.
